Associations View

Associations are groups of Sesame users created and maintained by themselves
to share data and resources.

Every Sesame user can create any number of Associations.
-
Every Sesame user can be a Member of any number of Associations.
-
The Sesame user who creates an Association becomes the Master of the Association.
The Master maintains the Association's Resources and the Membership.
-
A Master can invite other Sesame users to become Members of the particular Association,
and can remove any Member from the Association. However, a Master can not force no
Sesame user to become a Member of an Association.

An Invited user can either accept the Invitation issued by a Master and become a Member
of an Association, or he can refuse it.
-
No User can become a Member of an Association, unless he was Invited previously.
-
Both sides can terminate the relation at any time. A Master can remove a Member from
a mastered Association, and any Member can leave an Association.

The Association's Resources, and all the data created by users as Members of an Association
are only visible and accessible to the Members of the particular Association.
Once a Member leaves the Association, his data will stay in the Association,
and will be not accessible by him, even if the data were created
and owned by him.

Every Sesame User is automatically Member of the 'World' Lab.

The upper part of the Associations window shows the Associations
the current user is Master of.
-
Name is the unique Association name. Up to 16 characters.
-
Type shows both the Association's type and the current user's
membership type.
-
Lab Master maintains the Lab Resources and the Membership of a Lab.
-
PI maintains the Principal Investigator Resources and the PI's group
and their permits that give them access to Sites.
-
Site Admin maintains the Site Resources, and the Site's membership,
Staff and PIs. A user can access a site if he has a valid permit from a PI
who is a Member of the Site.

The bottom part of the Associations window shows the membership and the
membership type for the selected Association.

Applications shows the Sesame users that have a pending Application
for the selected Association.
To sort by a column, double click on the particular column's header.

Invitations shows the Sesame users that have a pending Invitation
for the selected Association.
To sort by a column, double click on the particular column's header.

Memberships shows the Members of the selected Association.
To sort by a column, double click on the particular column's header.

Make the Associations window active in the Board.
-
On the Associations menu click Create Association.
-
Fill out the popup's fields:
-
Name of the new Association, e.g. "John Doe Lab", "Area 51", etc.
For PI type, the Name is predefined as the current user's user name.
Up to 16 characters.

Type of the Association:
-
Lab Master to create a new Lab and to become the Lab Master for it.
-
PI to become a Principal Investigator.
-
Site Administrator to create a new Site and to become the Site Administrator for it.
-
Click on Create button to create the new Association, or,
Cancel to cancel.
Note
-
An existing Association can not be renamed nor deleted, except by a Sesame Administrator.
Not an easy task, so don't count on it.

The Association names are unique in a Sesame instance.
-
Make the Associations window active in the Board.
-
On the Associations menu click Refresh Associations.
Note
-
The content of the Associations window will be reloaded from the database.
Equivalent to closing and reopening Associations.
-
Make the Associations window active in the Board.
-
On the Associations menu click Close Associations,
or click the X button on the window's Title bar.
Note
-
Select an Association in the upper part of the Associations window.
-
Select a row in Memberships field.
-
Click on the
button on the right side
of the Memberships field.
-
Click OK in 'Are You Sure' popup.
Note
-
Only a Master can remove an Association member.
-
Every user can remove himself from an Association, see Memberships.
-
A Master of an Association can not remove himself from the mastered association.
-
An accidentally removed Member can be reinvited to the Association. After accepting the
Invitation, the particular user will be again a Member of the Association.

Select an Association in the upper part of the Associations window.
-
Click on the
button on the right side
of the Invitations field.

Do a search in the User Search Panel window:
-
Set the search criteria fields in the upper part of the window.
-
User Name to search for members with particular User Name.
'*' and '?' wild characters are allowed, e.g. 'a*' to return all the Sesame users
whose user name start with 'a' or 'A' (in case the Given Name and Family Name fields
are set to an '*')

Given Name to search for members with particular Given Name.
'*' and '?' wild characters are allowed.

Family Name to search for members with particular Family Name.
'*' and '?' wild characters are allowed.

In the Board, in Options menu click on Search for Members by Name
-
To sort the results by a column, double click on the particular column's header.
-
Select a row (a user) in the lower part of the User Search Panel window and
drag and drop it to the Associations window's Title bar.
-
Select the invitation type in the 'Are You Sure' popup's dropdown field.
Only the types relevant to the current Association will be shown.

Click Invite to issue the Invitation.
Note
-
An accidentally issued Invitation can be removed.
-
When a user with a pending Invitation logs in to Sesame next time,
he will be presented with the Memberships window, to resolve the
pending Invitation.

Select an Association in the upper part of the Associations window.
-
Select a row in Invitations field.
-
Click on the
button on the right side
of the Invitations field.
-
Click OK in 'Are You Sure' popup.
Note
-
An accidentally removed invitation can be reissued.
-
Select a row in Applications field.
-
Click on the
button on the right side
of the Applications field.
Note
-
This operation will remove the selected user from the Applications field, and will
add it to the Memberships field.
-
If a user's application was accidentally accepted, the user can be removed from Meberships field.
-
The Applications field will show only the Applications issued to the Association
selected in the upper part of the Association window.
-
If after a login the Associations window appers automagically in the Board,
there is at least one pending Application to one of the mastered Associations.

Select a row in Applications field.
-
Click on the
button on the right side
of the Applications field.

Click OK in 'Are You Sure' popup.
Note

If a user's Application was accidentally removed, the Master can issue an Invitation
to the particular user.
-
The Applications field will show only the Applications issued to the Association
selected in the upper part of the Association window.
-
If after a login the Associations window appers automagically in the Board,
there is at least one pending Application to one of the mastered Associations.

Double Click on an Association in the upper part of the Associations window.

Double Click on a row in Memberships, Invitations or Applications field.

To open the Associations window in the Board,
on the Options menu click Associations.

To make the Associations window active if it is already in the Board,
on the Board's Window menu click Associations, or click on
the Associations window's Title bar.

If after a login the Associations window appers automagically in the Board,
there is at least one pending Application to one of the mastered Associations.
The Applications field will show only the Applications issued to the Association
selected in the upper part of the Associations window.

The upper and bottom part of the Associations window can be resized by dragging the divider between
the two parts.
