Notebook View (NB)

Note

New Notebook View

This opens a new Notebook window in the Board.

  1. To create a new Notebook view,
    • In the Main Window, go to OptionsNew ViewNotebook (NB), or
    • In the Board, when a Notebook window is active, go to NotebookNew Notebook, or
    • Following a search for a Notebook record, drag-and-drop to the Board the NOTEBOOK ( . ) root node of a tree resulting from the search, or double-click on it.

Note

Save As New Notebook

This creates a new Notebook in the database, by saving the current page as a new first page.

  1. Make the Notebook window active in the Board.
  2. On the Notebook menu click Save As New Notebook, or click the 'Save the currrent page as a new first page' button in the button bar.

Add New Child Page Clear

This creates a new Notebook page as a new entry in the database with the current page as a linked item, retaining only the value of the Private Page field.

  1. Make the Notebook window active in the Board.
  2. On the Notebook menu click Add New Child Page Clear, or click the 'Add a new clear page as a child page to the notebook' button in the button bar.

Add New Child Page Copy

This creates a new Notebook page as a new entry in the database with the current page as a linked item, retaining everything but the content of the Files, Images, Info, and Linked Items fields.

  1. Make the Notebook window active in the Board.
  2. On the Notebook menu click Add New Child Page Copy, or click the 'Add a copy of this page as a child page to the notebook' button in the button bar.

Note

Save Notebook Page

This saves the Notebook page in the database.

  1. Make the Notebook window active in the Board.
  2. On the Notebook menu click Save Notebook Page, or click the Save Notebook Page button in the button bar.

Note

Delete Notebook Page

This removes the Notebook page from the database.

  1. Make the Notebook window active in the Board.
  2. On the Notebook menu click Delete Notebook Page.
  3. If you are sure you want to remove the Notebook page from the database, Click OK.

Note

Refresh Notebook Page

This reverts the data for the Notebook page to the last saved version in the database.

  1. Make the Notebook window active in the Board.
  2. On the Notebook menu click Refresh Notebook Page.
  3. Click Refresh in the 'Are You Sure?' popup.

Close Notebook

This closes the window.

  1. Make the Notebook window active in the Board.
  2. On the Notebook menu click Close Notebook, or click the X button on the window's Title bar.

Note

Show All Cells

This shows all Fields, including the hidden ones, in the Notebook view.

  1. Make the Notebook window active in the Board.
  2. On the Notebook menu click Show all Cells.

Show Lab Visible Cells

This hides the originally hidden Fields in the Notebook view; i.e., any fields hidden by a lab master, then revealed by Show all Cells, will again be hidden.

  1. Make the Notebook window active in the Board.
  2. On the Notebook menu click Show Lab Visible Cells.

Set Pages Private

This will turn all the pages owned by the current user into private, i.e., viewable by the owner only, pages in the Notebook.

  1. Make the Notebook window active in the Board.
  2. On the Edit menu click Set Pages Private.
  3. Click OK in the 'Are You Sure?' popup.

Note

Set Pages Nonprivate

This will turn all the pages owned by the current user into nonprivate, i.e., viewable by every lab member, pages in the Notebook.

  1. Make the Notebook window active in the Board.
  2. On the Edit menu click Set Pages Nonprivate.
  3. Click OK in the 'Are You Sure?' popup.

Set Notebook Status

This will set the status for all the pages in the Notebook, if the first page is owned by the current user.

  1. Make the Notebook window active in the Board.
  2. On the Edit menu click Set Notebook Status.
  3. Select the new value in 'Set Notebook Status' popup.
    • Status is a drop-down list of Status choices maintained by the lab master.
  4. Click OK in the 'Set Notebook Status' popup.

Set Pages Status

This will set the status for all the pages owned by the current user in the Notebook.

  1. Make the Notebook window active in the Board.
  2. On the Edit menu click Set Pages Status.
  3. Select the new value in 'Set Pages Status' popup.
    • Status is a drop-down list of Status choices maintained by the lab master.
  4. Click OK in the 'Set Pages Status' popup.

Clear Page

This clears the Notebook page, if the Body field is editable.

  1. Make the Notebook window active in the Board.
  2. On the Edit menu click Clear Page.

Clear Body

This clears the Body field in the Notebook page, if it is editable.

  1. Make the Notebook window active in the Board.
  2. On the Edit menu click Clear Body.

Note

Quote Body

This quotes the Body field in the Notebook page, if it is editable.

  1. Make the Notebook window active in the Board.
  2. On the Edit menu click Quote Body.

Note

Unquote Body

This unquotes the Body field in the Notebook page, if it is editable.

  1. Make the Notebook window active in the Board.
  2. On the Edit menu click Unquote Body.

Generate Report for Notebook

This creates a text report for the Notebook page.

  1. Make the Notebook window active in the Board.
  2. In the Report menu click Generate Report for Notebook.

Record XML Dump

This saves an XML report for the Notebook page.

  1. Make the Notebook window active in the Board.
  2. In the Report menu click Record XML Dump.
  3. Fill out the pop up.
    • Inline DTD determines if the DTD (Document Type Definition) should be included in the File.
    • Formatting determines if new lines and spaces should be included in the File.
    • File Name defines the name of the File to be saved.
  4. Click the Save File button.

Note

HTML Notebook

This creates a Webpage from the Notebook.

  1. Make the Notebook window active in the Board.
  2. In the Report menu click HTML Notebook.
  3. In the 'Save' popup, choose a location and type a name for the file.
  4. Click Save in the popup.

Add External References

This adds a new row to the External References Field.

  1. Make the Notebook window active in the Board.
  2. Click on the ICON button on the right side of the External References Field.
  3. Enter data into the editable columns of the new row.
  4. The item must be saved before changes in the database occur.

Display External References

This opens the selected row from the External References table in the default browser.

  1. Make the Notebook window active in the Board.
  2. Select a row in the External References Field, then click on the ICON button on the right side of the External References Field.

Remove External References

This removes the selected row from the External References table.
  1. Make the Notebook window active in the Board.
  2. Select a row in the External References Field, then click on the ICON button on the right side of the External References Field.

Add File

This uploads one or more Files from the disk and attaches them to the Notebook page.

  1. Make the Notebook window active in the Board.
  2. Click on the ICON button on the right side of the Files Field.
  3. Set the values in the 'Add Row' popup.
    • User Label is the note or label added by the user when the file is uploaded.
    • Format determines if one or more Files will be added. To set it, click on the Field, then click the format that you want to use.
      • File if only the selected File will be added.
      • Folder if all the Files from the selected Folder will be added.
      • Folder with Subfolders if all the Files from the selected Folder and all the Subfolders will be added.
    • File Name is the name of the File or Folder depending on the selected Format. To set it, click on the Field, then set the values in the 'Select File' popup.
      • In the Look in drop-down, click the drive or Folder that contains the Files you want to add.
      • Specify whether the Format is a File, Folder, or Folder with Subfolders.
      • Click Select File.
    • File Type is a list of File Types maintained by the lab master.
  4. Click Add File.

Add File from the Web

This takes a File from the Web and attaches it to the Notebook page.

  1. Make the Notebook window active in the Board.
  2. Click on the ICON button on the right side of the Files Field.
  3. Set the values in the 'Add Row' popup.
    • User Label is the User label.
    • URL is the Web address of the File. Only the HTTP URL scheme is supported, and it must include the 'http://' or 'https://' prefix.
    • File Type is a list of File Type maintained by the lab master.
  4. Click Add File.

Display File in the Board

This displays a File, attached to the Notebook page, in the Board.

  1. Make the Notebook window active in the Board.
  2. Alternatively, you can
    • select a File (a row) in the Files Field, then click on the ICON button on the right side of the Files Field, or
    • drag a File (a row) from the Files Field to an open area of the Board and drop it, or
    • double-click on a File (a row) in the Files Field.

Display File in its Associated Application

This opens a File, attached to the Notebook page, using its associated application .

  1. Make the Notebook window active in the Board.
  2. Alternatively, you can
    • select a File (a row) in the Files Field, then click on the ICON button on the right side of the Files Field, or
    • right-click on a File (a row) in the Files Field.
  3. Click OK in the the 'Open with...' popup.

Edit File User Label And Type

This updates the User Label and the File Type for a File attached to the Notebook page.

  1. Make the Notebook window active in the Board.
  2. Select a File (a row) in the Files Field, then click on the ICON button on the right side of the Files Field.
  3. Set the values in 'Edit File Information' popup.
    • User Label is the User label.
    • File Type is the Lab Resources File Type of the File.
  4. Click Update.

Note

Save File

This saves Files, attached to the Notebook page, to the disk.

  1. Make the Notebook window active in the Board.
  2. Select a File (a row) in the Files Field, then click on the ICON button on the right side of the Files Field.
  3. If you want to save the File in a different Folder, locate and open the Folder, or, in the File Name box, type the name for the Folder.
  4. Click Save.

Note

Remove File

This removes a File from the Notebook page.

  1. Make the Notebook window active in the Board.
  2. Select a File (a row) in the Files Field, then click on the ICON button on the right side of the Files Field.
  3. Click Remove File in the 'Are You Sure?' popup.

Link File by Drag & Drop

This adds a File, already attached to a record, to the Notebook page.

  1. Make the Notebook window visible in the Board.
  2. Make the other window that contains the record that has the File already attached active in the Board.
  3. Select a File (a row) in the Files Field of the other record, then drag and drop it into the Notebook window's Title bar.

Add Image

This uploads one or more Images from the disk and attaches them to the Notebook page.

  1. Make the Notebook window active in the Board.
  2. Click on the ICON button on the right side of the Images Field.
  3. Set the values in the 'Add Row' popup.
    • User Label is the User label.
    • Format determines if one or more Images will be added. To set it, click on the Field, then click the format that you want to use.
      • File if only the selected Image will be added.
      • Folder if all the Images from the selected Folder will be added.
      • Folder with Subfolders if all the Images from the selected Folder and all the Subfolders will be added.
    • File Name is the name of the File or Folder depending on the selected Format. To set it, click on the Field, then set the values in the 'Select Image' popup.
      • In the Look in drop-down, click the drive or Folder that contains the Files you want to add.
      • Specify whether the Format is a File, Folder, or Folder with Subfolders.
      • Click Select Image.
  4. Click Add Image.

Add Image from the Web

This takes an Image from the Web and attaches it to the Notebook page.

  1. Make the Notebook window active in the Board.
  2. Click on the ICON button on the right side of the Images Field.
  3. Set the values in the 'Add Row' popup.
    • User Label is the User label.
    • URL is the Web address of the Image. Only the HTTP URL scheme is supported, and it must include the 'http://' or 'https://' prefix.
  4. Click Add Image.

    • double-click on an Image (a row) in the Images Field.

  2. Alternatively, you can
    • select an Image (a row) in the Images Field, then click on the ICON button on the right side of the Images Field, or
    • right-click on an Image (a row) in the Images Field.
  3. Click OK in the the 'Open with...' popup.

Edit Image User Label

This updates the User Label for an Image attached to the Notebook page.

  1. Make the Notebook window active in the Board.
  2. Select an Image (a row) in the Images Field, then click on the ICON button on the right side of the Images Field.
  3. Set the values in 'Edit Image Information' popup.
    • User Label is the user label.
  4. Click Update.

Note

Save Image

This saves Images, attached to the Notebook page, to the disk.

  1. Make the Notebook window active in the Board.
  2. Select an Image (a row) in the Images Field, then click on the ICON button on the right side of the Images Field.
  3. If you want to save the Image in a different Folder, locate and open the Folder, or, in the File Name box, type the name for the Folder.
  4. Click Save.

Note

Remove Image

This removes an Image from the Notebook page.

  1. Make the Notebook window active in the Board.
  2. Select an Image (a row) in the Images Field, then click on the ICON button on the right side of the Images Field.
  3. Click Remove Image in the 'Are You Sure?' popup.

Link Image by Drag & Drop

This adds an Image, already attached to a record, to the Notebook page.

  1. Make the Notebook window visible in the Board.
  2. Make active, in the Board, the record with the Image already attached.
  3. Select an Image (a row) in the Images Field of the other record, then drag and drop it into the Notebook window's Title bar.

Note

Add Info

This adds a new row to the Info table.

  1. Make the Notebook window active in the Board.
  2. Click on the ICON button on the right side of the Info Field.
  3. Enter data into the editable columns of the new row.

Note

Remove Info

This removes the selected row from the Info table.

  1. Make the Notebook window active in the Board.
  2. Select a row in the Info Field, then click on the ICON button on the right side of the Info Field.
  3. Click Remove Info in the 'Are You Sure?' popup.

Note

Email Info

This emails the selected Info to the User who created the Notebook.

  1. Make the Employee Record window active in the Board.
  2. Select a row in the Info Field, then click on the ICON button on the right side of the Info Field.
  3. Click Send Email in the 'Are You Sure?' popup.

Note

Add Linked Item by Drag & Drop

This explicitly links an item to the Notebook page.

  1. Make the Notebook window visible in the Board.
  2. Alternatively, you can
    • Drag and drop a tree node from the Search Results tree in the Main Window to the Notebook window's Title bar.
    • Drag and drop a row from the Linked Items Field of an Item already in the Board to the Notebook window's Title bar.
  3. Click Yes in the 'Are You Sure?' popup.

Note

Display Linked Item in the Board

This displays the Items linked to the Notebook page in the Board.

  1. Make the Notebook window active in the Board.
  2. Alternatively, you can
    • select a row in the Linked Items Field, then click on the ICON button on the right side of the Linked Protocols Field, or
    • drag a row from the Linked Items Field to an open area of the Board and drop it, or
    • double-click on a row in the Linked Items Field.

Note

Unlink Linked Item

This removes an explicitly linked item from the Linked Items Field.

  1. Make the Notebook window active in the Board.
  2. Select a row in the Linked Items Field, then click on the ICON button on the right side of the Files Field.
  3. Click Unlink Item in the 'Are You Sure?' popup.
